We take your privacy seriously - here's how we handle your information

Look, we get it - nobody really enjoys reading through legal documents. But your privacy matters to us, and we've tried to make this as straightforward as possible. At Javelori Nexus Architecture, we're committed to protecting your personal information just like we're committed to sustainable design. This policy explains what info we collect, why we need it, and what we do with it.

When you reach out to us or use our website, we might collect a few things:

  • Contact Details: Your name, email, phone number, and address - basically the stuff we need to actually get back to you about your project.
  • Project Information: Whatever details you share about your building plans, design preferences, site location, budget range - the nitty-gritty that helps us understand what you're after.
  • Technical Data: IP addresses, browser types, device info, and how you navigate our site. Pretty standard web stuff that helps us keep things running smoothly.
  • Communication Records: Emails, phone conversations, meeting notes - we keep track of our discussions so we don't lose important details about your project.
  • Payment Information: For invoicing and contracts, though we don't store full credit card details ourselves (that's handled through secure payment processors).

We only collect what we actually need - no point gathering info we won't use.

We're not in the business of selling your data or spamming you. Here's what we actually do with your info:

Project Services

To design your building, obviously. We need your details to create proposals, develop architectural plans, coordinate with contractors, and see your project through from concept to completion.

Communication

Responding to your inquiries, sending project updates, scheduling site visits, and keeping you in the loop about timelines and milestones.

Legal & Compliance

Meeting our professional obligations under Canadian and Ontario regulations, including maintaining project records as required by architectural standards.

Website Improvements

Understanding how people use our site so we can make it better - faster loading times, easier navigation, that sort of thing.

Occasional Updates

With your permission, we might send newsletters about sustainable design trends or company news. You can opt out anytime - we won't take it personally.

Security isn't just for buildings - we take digital protection seriously too:

  • Encryption: Your data is encrypted both when it's traveling over the internet and when it's stored on our servers. Think of it like a locked filing cabinet, but way more secure.
  • Limited Access: Only team members who actually need to see your info can access it. Not everyone in the office has keys to everything.
  • Secure Storage: We use reputable Canadian-based hosting services with solid security measures and regular backups.
  • Regular Updates: Our systems are kept current with the latest security patches - boring but necessary.
  • Professional Standards: We follow the privacy requirements set out by the Ontario Association of Architects and Canadian privacy laws.

That said, no system is 100% foolproof. We do our best, but if you're emailing sensitive info, you might want to call us instead for extra peace of mind.

We don't sell or rent your personal information to anyone. Period. But we do sometimes need to share it with others to get your project done:

Project Partners

Engineers, contractors, sustainability consultants, and other professionals working on your project need relevant info to do their jobs properly.

Regulatory Bodies

Municipal planning departments, building permit offices, and certification agencies (like LEED) when required for approvals and green building certifications.

Service Providers

Our web hosting company, email service, cloud storage provider, and accounting software - the behind-the-scenes folks who help us run the business.

Legal Requirements

If the law requires it, we'll comply with court orders, government requests, or legal proceedings.

Anyone we share your info with is bound by confidentiality agreements or professional obligations to keep it secure.

Yeah, we use cookies - not the chocolate chip kind, unfortunately. Here's the deal:

  • Essential Cookies: These keep the site functioning properly - remembering your language preference, keeping you logged in, that sort of thing.
  • Analytics Cookies: Help us understand which pages people visit most, where they're coming from, and how long they stick around. We use this to improve the site.
  • Performance Cookies: Monitor site speed and identify any technical issues that need fixing.

You can disable cookies through your browser settings if you want, though some parts of the site might not work as smoothly. Most browsers also offer "Do Not Track" options that we respect.

We don't use advertising cookies or track you across other websites - that's just creepy, and we're not about that.

We don't keep your information forever - that'd be weird and unnecessary. Here's our approach:

  • Active Projects: We keep all relevant information for the duration of your project and through any warranty periods.
  • Completed Projects: Architectural records are retained for 10 years as required by professional regulations in Ontario - this protects both you and us if questions come up later.
  • Inquiries: If you contacted us but didn't move forward with a project, we'll keep your info for about 2 years in case you change your mind, then delete it.
  • Marketing Communications: If you've opted into our newsletter, we'll keep your email until you unsubscribe.
  • Financial Records: Tax and accounting documents are kept for 7 years as required by Canadian tax law.

When we do delete data, it's done securely - we don't just toss hard drives in the trash.

Under Canadian privacy laws (PIPEDA and provincial regulations), you've got several rights when it comes to your personal info:

Access

You can ask to see what information we have about you. We'll provide it within 30 days, though we might need to verify your identity first.

Correction

If something's wrong or outdated, let us know and we'll fix it. Accurate information helps us serve you better anyway.

Deletion

Want us to delete your information? We can do that, unless we're legally required to keep it (like completed project records) or need it for legitimate business purposes.

Opt-Out

You can unsubscribe from marketing emails anytime - there's an unsubscribe link in every newsletter we send.

Portability

Need your information in a portable format to take somewhere else? We can export it for you in a commonly used file format.

To exercise any of these rights, just email us at contact@javelorinex.info or give us a call. We'll respond within 30 days.

Our website might link to other sites - manufacturer product pages, sustainability certification bodies, professional associations, that kind of thing. Once you click through to another site, you're subject to their privacy policies, not ours.

We try to only link to reputable organizations, but we can't control what they do with your information. Read their privacy policies if you're concerned (yeah, we know - more reading, sorry).

We're based in Toronto and primarily use Canadian service providers. However, some of our tools (like cloud storage or email services) might store data on servers located outside Canada, including in the United States.

When this happens, your information is protected by contractual obligations requiring the same level of protection as Canadian privacy laws. We only work with providers who take security seriously and comply with international data protection standards.

If you have concerns about where your data is stored geographically, let us know - we can discuss options.

Privacy laws evolve, technology changes, and our business practices develop over time. We might need to update this policy occasionally to reflect those changes.

When we make significant changes, we'll let you know - probably through an email if you're a client or a notice on our website. The "Last updated" date at the top of this page will always reflect when changes were made.

We won't make changes that reduce your privacy protections without giving you a heads-up and a chance to respond.

We work hard to prevent security breaches, but in the unlikely event that one occurs and your personal information is compromised, here's what we'll do:

  • Investigate and contain the breach immediately
  • Notify you as soon as possible (within 72 hours if feasible)
  • Report the breach to the Office of the Privacy Commissioner of Canada as required by law
  • Provide clear information about what happened, what data was affected, and what steps you should take
  • Take measures to prevent similar incidents in the future

We're not perfect, but we'll be transparent and responsible if something goes wrong.

Questions About Your Privacy?

We know this is a lot of information. If you've got questions or concerns about how we handle your data, don't hesitate to reach out. We'd rather have a straightforward conversation than leave you wondering.
